The Training Matrix is WalletCard's operational centerpiece. It provides a live visual grid where rows represent job roles or employee groups and columns represent required training items or certifications. At a glance, administrators can see:

• Which employees are fully compliant
• Which certifications are expiring within 30, 60, or 90 days
• Which roles have outstanding or overdue training obligations
• Compliance percentages segmented by department, location, or site

The matrix is configurable per organization — customizable for different divisions, projects, or regulatory frameworks. Status indicators (Valid, Expiring Soon, Expired, Overdue) drive immediate, targeted action without any manual reconciliation.

Training Providers can design fully custom-branded digital certificates using WalletCard's built-in Certificate Designer. Upon course completion, certificates are issued individually or in bulk via CSV upload and automatically delivered to each trainee's personal WalletCard account.

The moment a certificate is issued, it simultaneously updates the employer's Training Matrix — eliminating the lag, manual uploads, and follow-up communication that plague traditional workflows. For Training Providers connected to external LMS platforms such as Thinkific, the process is further automated: a course_completed webhook triggers credential issuance without any manual intervention.

WalletCard's notification engine runs continuously in the background. Organizations can configure custom alert rules — delivered via email, in-app notification, SMS, Slack, or webhook — to notify employees, managers, and training providers well ahead of certification expiry dates.

This proactive model eliminates the reactive scramble of discovering expired credentials during an audit or site inspection. Recurring training schedules can also be configured, ensuring mandatory refresher cycles are automatically tracked and communicated without administrative overhead.

Every certificate issued through WalletCard is embedded with a cryptographically signed QR code. Scanning the code — by a site manager, auditor, or contractor — immediately displays the credential's current status (Valid, Expired, or Revoked), the issuing organization, and the issue and expiry dates.

No login is required for verification. Third parties can perform read-only checks instantly via a public endpoint. All scan events are logged — recording who scanned, when, and where — creating a tamper-resistant audit trail that supports both field operations and formal regulatory reviews.

WalletCard maintains a continuously updated, timestamped record of every training action: certificate issuance, credential revocation, document uploads, administrative changes, and QR scan events. These logs are immediately exportable in PDF or CSV format — either on demand or via scheduled email digests.

For B2B compliance scenarios — where organizations need to share workforce credentials with partner companies, contractors, or regulatory bodies — WalletCard provides secure, role-controlled record sharing without manual data compilation or compromising data security.

Beyond certificates, WalletCard serves as a secure repository for all compliance-related documentation: safety policies, inspection reports, Job Safety Analyses (JSAs), licenses, and supporting forms. Documents can be organized with custom folders, tags, and notes, and are accessible from any device.

Visibility controls allow organizations to mark documents as public, cardholder-visible, or internal (admin-only). A built-in malware scanning pipeline ensures all uploaded files are safe before going live. Configurable retention policies ensure records are kept or archived in line with regulatory requirements.
